Connecting Outlook & Microsoft 365
Town works with Outlook mail and calendar the same way it works with Gmail. If you live in Microsoft 365 / Outlook instead of Google, you connect your Microsoft account and your Townie can read, search, draft, and send email and manage your calendar — no separate signup, no second account.
Do I need a new Town account?
No. If you already have Town, you don’t re-sign-up to use Outlook. You add your Microsoft account from Integrations. And if you’re brand new, you can sign in to Town with your Microsoft account from the start — it becomes your primary account.
What your Townie can do with Outlook
Once connected, Outlook gives your Townie the same core reach as Gmail:
- Read and search your Outlook mail
- Draft and send email for your review (or directly, when you allow it)
- Manage your calendar — see your schedule, check availability, create and edit events
- Power routines across your mail and calendar, like Auto-inbox and your Morning Briefing
How to connect Outlook
Outlook is added like another email account from its Integrations page.
- Open Integrations, choose Outlook, and select Add account.
- Sign in with your Microsoft account and accept the permissions Town requests.
- Return to Town — your Outlook mail and calendar are now available to your Townie.
If your team blocks additional email accounts, you’ll see a note saying so instead of the button — email support@corp.town.com if you think you shouldn’t be blocked.
It’s the same account model as Google. If you’re new and sign in with Microsoft, that becomes your primary account. If you already have Town, Outlook is added as an additional account; changing which account is your primary is handled by support (support@corp.town.com). See Multiple Accounts.
Your Microsoft account needs a real mailbox
Town works with the mailbox itself, so the Microsoft account you use has to have one. If it doesn’t, sign-in stops with “Outlook Mailbox Required”:
- Personal accounts need an Outlook.com address on the account.
- Work accounts need an Exchange Online license.
Adding an address from another provider to the Outlook desktop app doesn’t count — that mail still lives with the original provider. Town connects to Google and Microsoft mail; other providers (iCloud, for example) can’t be connected today, so the way in is a Google account with Gmail or a Microsoft account with an Outlook/Exchange mailbox.
The same check applies on the Google side: a Google account with Gmail turned off shows “Gmail Mailbox Required”.
Corporate & work accounts need an admin
If your Microsoft account belongs to a company (a Microsoft 365 / Entra tenant), your organization may require an administrator to approve Town before you can connect. This is a one-time, roughly five-minute step for your IT admin.
- Point your admin to Setting up Town for your organization (Microsoft Entra).
- Once they’ve granted consent, you can connect Outlook normally — no per-user approval screen.
If you see an “Approval required” or consent screen you can’t get past when connecting, that’s your organization’s admin consent step. Share the Microsoft Entra setup guide with your IT team.
Using Outlook on the Mac desktop app
If you use the Town macOS desktop app , make sure it’s updated to the latest version so the Sign in with Microsoft option is available. Older builds may not show it.
Good to know
- First inbox load can be slow. When you first connect, Town bootstraps your mailbox in the background, so the very first load may take a little longer than usual. It speeds up once that’s done.
- Same Townie everywhere. Connecting Outlook doesn’t change your assistant — same memory, same context, same safety controls.
