Delegation Tracker
The Delegation Tracker is a routine your Townie AI assistant runs weekly, with a lighter pass after meetings: it reads your sent email and meeting notes for things you asked someone to do, tracks each as an open loop with an owner and a date, and flags the ones that went quiet. You get a short digest with a friendly nudge drafted for every stalled item — each held for your approval.
See it work: the handoffs that went quiet
Chase down what I delegated and never got back
Nudges drafted in your voice — you approve, they send.
It runs weekly, plus after meetings
A full sweep on the morning you pick, and a lighter pass when meetings end — so fresh handoffs get captured the day you make them.
It reads what you already send
Your sent email and meeting notes, looking for 'can you own X' and 'send me Y by Friday' — each tracked as an open loop with an owner and a date, remembered across runs. No separate tracker to maintain.
You approve the nudges
The digest lists what's still open and how long it's been sitting; each stalled item comes with a friendly nudge drafted in your voice. Nothing emails anyone until you say so.
Delegation Tracker FAQ
It's a routine your Townie AI assistant runs weekly (with a lighter pass after meetings): it scans your sent email and meeting notes for everything you've asked someone to do, tracks each item with its owner and due date, flags what's gone quiet, and drafts a short nudge to each owner in your voice — all held for your approval. It becomes your system of record for delegated work; the message on this page is how you describe it.
No — every nudge is held as a draft until you review and send it; that's the routine's default and it stays that way unless you loosen it. Town only reads the accounts you connect. Read more in our security overview.
No. It works from your sent mail and meeting notes as they already are, and keeps its own running memory of open loops across runs — including items your post-meeting recap routine assigns, if you run one.
No. Resolved items drop off the list, items where the ball is back in your court move to a 'waiting on me' section, and nudges only go to loops that are genuinely still open on their side.
Your email and your calendar (or meeting notes) are enough to start. If your team also hands work off in a project tracker or chat, your assistant can fold those in when you connect them.
Yes — set the tone once ('always warm, never terse'), change how long an item can sit before it's flagged, or exclude certain people entirely. One message adjusts any of it.
